COVID-19 Moving Safety Guidelines
Our vaccinated movers are ready to deliver a safe, efficient service. Despite changes to citywide mask mandates, Cool Hand Movers encourages clients, team members, and anyone else on site to wear masks throughout the service. It is imperative for protection against COVID-19 and safety during lifting and handling that clients give the team a minimum of 10 feet of space during the move.

Binding Flat Rate Estimates
All flat-rate estimates are binding estimates, which means, should you hire us, we are committed to delivering the services captured in your estimate request form at the proposed rate. If your inventory or location details change, we will issue a new binding estimate. Flat rates do not include gratuity.
We do not charge clients additional fees for parking tickets, meters, tolls, gas, and other costs of doing business.

Hourly Rates
All hourly rates have a two-hour minimum. If the details of the service change significantly, we may offer fewer or additional movers. After the two-hour minimum, we charge hourly rates in 15-minute increments. Hourly rates do not include gratuity.

Reserving a Time Slot
Clients can only reserve services via an emailed confirmation link. We require a $150 deposit via that form to schedule a team of Cool Hand Movers.
• We will apply the deposit to the final balance of your move.
• We accept deposits via debit card, credit card, and ACH payment.
• We do not take payments via cash or check.

Rescheduling & Cancellations
We are as accommodating as possible when our clients need to reschedule. If you need to reschedule your move date, fees may apply.
• Rescheduling an off-peak service (3rd through 26th, excluding holidays) within 3 days of the service date will incur a $75 rescheduling fee.
• Rescheduling a peak service (27th through 2nd, plus all holidays) within 7 days of the service date will incur a $75 rescheduling fee.
• We cannot refund deposits for moves cancelled within 7 days of a peak service date. We cannot refund deposits for moves cancelled within 3 days of an off-peak service date. For clients who pay upfront, your payment will be returned less a $150 deposit/ cancellation fee.
COVID-19 Rescheduling/ Cancellation fee exemption:
If you need to reschedule or cancel a move due to being sick or having a sick family member, dependant, or housemate, we will waive rescheduling/cancellation fees.
Unsafe Condititions/ Pest Policy:
If Cool Hand Movers needs to cancel a service in progress due to unsafe working conditions or an apparent pest infestation, the client may be required to pay a fee up to $250 to go toward expended resources. If the service results in the disposal of any of our equipment, the client may also be required to pay for that equipment at replacement cost (moving blanket, $15, moving bin, $29).

Certificates of Insurance
We provide Certificates of Insurance (COIs) for moving at no additional charge. Each building has its own set of requirements for these custom documents that extend our insurance to their property. Please request a PDF sample or guidelines from your building management. We’ll then provide a custom COI for you to give to them. Certificates of Insurance are for building owners and managers. They do not apply to clients’ belongings.

Rate Adjustments (for flat-rate estimates)
The more accurate your item list and descriptions of each location, the more we can, “Wow!” you on move day. If a crew needs to carry more items or climb more flights of stairs than included in the estimate, we adjust the rate to reflect that additional work. There is no penalty charge for this adjustment. We adjust rates in line with the original estimate.
You can submit an updated inventory for a rate adjustment ahead of the move. However, 48 hours before confirmed moves, we have already committed the staff, vehicle, and other resources to make your move happen, so we will not be able to lower the rate for your move by more than 10%.
We appreciate at least 48 hours of lead time for significant changes to your item list or any other detail of your move.
It’s always better for clients and their teams when we have all of the details before move day. If you need additional services on the day of your move, additional fees may apply:
• If there is a need for additional dis/reassembly or door removal, the team lead will inform the client of the necessary rate adjustment before work begins.
• Excessive distance (long carry fee) applies when there is a distance of more than 150 feet from the truck to the entrance of the building. The long carry fee is +10% on the estimated rate, plus a 5% increase for every additional 50 feet.
• Wait-time or delay fees are applied when movers arrive at either move location and cannot begin work. The wait-time fee applies after a 30-minute grace period. The wait-time fee is $30 per mover.
Household Goods Coverage & Liability

Not covered by movers.
There are certain items that moving companies are not liable for under any circumstance. Included in this category are:
• “Items of extraordinary value,” including jewelry, paper currency, and valuable personal documents such as birth certificates and passports. Clients should transport these items themselves,
• IKEA-style furniture made of press-board, particle-board, or engineered wood,
• things in boxes that the crew did not pack unless there is clear evidence of mishandling,
• screws, nuts, etc., from furniture that Cool Hand Movers did not disassemble.

Released Value Protection (standard + free)
Standard moving rates do not include “retail-value” or “declared-value” insurance coverage. According to Federal Motor Carrier Safety Association guidelines, movers assume liability for no more than 60 cents per pound per article. For example, if your mover lost or damaged a 10-pound stereo component valued at $1,000, you would only receive $6.00 in compensation (60 cents x 10 pounds).
However, on the rare occasion that something is damaged, we do our best to find a fair and satisfying solution at no additional coverage cost to you.

Full Value Protection (additional fees apply)
When you purchase full value protection, if any article is lost, destroyed, or damaged while in your mover's custody, your mover will, at its discretion, offer to do one of the following for each item:
• Repair the item
• Replace with a similar item
• Make a cash settlement for the repair cost or the current market replacement value.
Any items under full value protection must have their condition thoroughly inspected and documented in photos before being handled by the movers. If you are interested in purchasing additional coverage, we can refer you to our third-party vendor.

Final Payment & Tipping
We will not ask you to pay for the balance of your move until we complete the service. Then, we will charge the card on file for the remaining balance of your move. Please have cash on hand to tip your Team Lead (foreperson) at the end of the move. For excellent service on residential moves, somewhere within the range of 20% to 25% of the balance is recommended and appreciated.

Services Not Included
As licensed movers under specific insurance coverage, there are certain things we don’t permit movers to do.
• Movers cannot permit clients to join in lifting or moving items during the move.
• Movers cannot allow clients to ride in our trucks or vans
• Although we disassemble and reassemble most types of furniture, we do not mount most fixtures to the property - this includes window air conditioners, wall-mounted TVs, and wall-mounted shelving.
• Although we can assemble furniture that we disassembled–or that is in its original box– we do not reassemble furniture that we did not disassemble for you.
• We do not reassemble cribs.
• We do not move fire extinguishers, propane tanks, filled aquariums, or pets.
